Course Cancellation Policy

ONWAR courses are free of charge for ONWAR-registered PhD students, as participation is covered by the annual contribution paid by their institute or supervisor. To ensure fair access and efficient course planning, the following cancellation policy applies:

1. Cancellation by ONWAR Students

  • Up to 14 days before the course start date: Cancellation is free of charge.
  • Within 14 days before the course or no-show without notice: A €150 no-show fee will

    be charged.

    If cancellation occurs within 14 days of the course, the invoice will be sent directly to the student, with a copy to the supervisor. The supervisor may choose to cover the cost, but the student is primarily responsible.

    If the student does not respond to the invoice or communication, access to future ONWAR courses may be denied until the matter is resolved.

    If you’re unable to attend due to illness or exceptional circumstances, please inform the ONWAR office as soon as possible. Requests for waiving the fee will be considered on a case-by-case basis.

    2. Cancellation by Non-ONWAR Participants

  • Non-ONWAR participants pay a fee of €500 per course.
  • Up to 14 days before the course: Not charged.
  • Between 14 and 7 days before the course: 50% charged.
  • Less than 7 days before the course or no-show: 100% charged.

    3. Substitute Participants

    If you are unable to attend, you may propose a substitute participant, provided they are also registered with ONWAR. Substitutions must be communicated in advance and are subject to approval by the course coordinator.

    4. Courses Organised by Partner Institutes (e.g. CEN or Erasmus MC)

    For courses that are part of the ONWAR program but organised by partner institutes such as CEN (Radboudumc) or Erasmus MC, the cancellation policy and associated costs may differ. These institutes may charge higher fees for no-shows or late cancellations.

    It is the participant’s responsibility to check the specific policy and potential financial consequences with the organising institute.

    5. Course Cancellation by ONWAR

    If ONWAR cancels or reschedules a course due to unforeseen circumstances or low enrollment, all registered participants will be informed as soon as possible. Any course fees paid by non-ONWAR participants will be fully refunded.
